SearchExpress Invoice Document Imaging  ® Lets you scan and search your invoices. No redundant data entry is required. SearchExpress can use a barcode to read invoice data from your  invoicing system, whether it’s mainframe or PC based. Or, you can use the barcode value to link to the image directly from your invoicing system. Scanned invoices are stored in a  Microsoft SQL full-text database.

Simple search screen

Simple search Searches all  fields for any documents containing  the phrase Dell Computer.

Simple Search hit list

Hit list Shows all documents with Dell Computer in any index field.

Advanced Search Lets you narrow your search. Specify that you want to search for documents in which Dell Computer is in the Title field AND the invoice date is after 7/1/2000.

Document Display Click the red button to display the documents. For scanned documents, displays color or black and white TIFF image or PDF image. Click related button to see supporting  documents related to the invoice.

Easy to find what you are looking for Type in a word or phrase to find documents.

Boolean Search SearchExpress provides  AND, OR, NOT Boolean search capability. In addition, range searching is supported for numeric and date fields.

Display Invoices Images from your invoicing system In addition to searching and displaying your documents with SearchExpress, you can access the images directly from your invoicing system. Since the unique barcode is in both the SearchExpress SQL imaging database and your invoicing  database, you can use the barcode value to link directly from your invoice records to the invoice image.

Document Capture Before you can search your documents, you have to capture them to make them searchable.

Scanning paper documents

Apply unique barcodes Stick a sequential barcode on page one of A/P invoices. For sales invoices and proof-of-delivery documents, you could print a barcode on page one of each document.

Barcode reading The barcode is used both as a document delimiter and as a unique number, if you want to read existing invoice data from your invoicing system. For A/P invoices, you key the barcode when you key the other invoice data into your A/P system. For sales invoices, the barcode number is put into a field in your sales invoicing database when you print the barcode on each invoice.

Image Cleanup Options

Scanning - Each page is shown as it is being scanned. You can reject and re-scan pages placed in backwards. Double-sided (Duplex) scanning is supported. Put a batch of documents in the form feeder  of the scanner, and scan entire batch. SearchExpress supports over 150 scanners, using ISIS and TWAIN drivers.

Select file format for images You can select to write the images in TIFF or PDF format, and the images are stored and secured inside the Microsoft SQL database.
